Chartfield Inquiry Help

Getting to the Chartfield Inquiry System:

• Through the MyPack Portal:  Financial Systems > Monitoring Tools & Reports
• Using the following URL:  go.ncsu.edu/chartfield_inquiry

Search Criteria:

• Enter the criteria that you would like to search on in any combination of the criteria fields.
• Wild card searches can be done on the Project Id, Fund Code, Program, and Class fields.

Ø No wild card is needed at the end when performing a search that begins with a value.  For example, in the Project Id field, 4313 will return Project Id’s that begin with 4313 (ex. 431352, 431352-99999, 431353).

Ø If you want to return values that contain 4313, a wild card of % can be used.  For example, %4313 will return Project Id’s that contain 4313 (ex. 349844-43130, 354313, 431352, 431352-99999, 544313, 544313-06515).  Another example, 3%4313 will return Project Id’s that begin with 3 and contain 4313 (ex. 349844-43130, 354313).

Ø You can also use an underscore (_) in a pattern to exactly match one character.  For example, in the Project Id field, 202_01 (with 1 underscore) will return Project Id’s that begin with 202 and with 01 in the 5^th and 6^th digits (ex. 202101, 202401, 202501).  Another example, in the Project Id field, 4___50 (with 3 underscores) will return Project Id’s that begin with 4 and with 50 in the 5^th and 6^th digits (ex. 400050, 400050-01065, 404250, 404250-16376). 

• In the Department field, you can put in a 2-digit, 3-digit, 4-digit, or 6-digit value.  No wild card is needed at the end.  For example, putting 12 will return Project Id’s that are in Departments beginning with 12.
• The Status box defaults to blank so that all Project Id’s (Active, Inactive, and Pending) are retrieved. If you want to pull only Active, Inactive, or Pending Project Id’s, then use the dropdown to select that specific choice. 
• Searches can now be done on Funding Group.  Use the dropdown to select your specific choice.  Note:  Funding Groups coincide with specific project ranges and chartfield attributes.  The table at the end of this file contains the complete list of Funding Groups and corresponding criteria.
• Searches can now be done on Aux Code.  You can use the magnifying glass to search for a specific Auxiliary Code value.  From there, you can click on Advanced Lookup to search based on the Auxiliary Code Description field.  Note:  Auxiliary Codes are used to identify Auxiliary units that are reviewed by the Budget Office as well as Centers and Institutes as defined by the Office of Research, Innovation, and Economic Development (ORIED).
• Click on the Search button to perform the search.
• Click on the Clear button to clear out the search criteria.

Search Results:

• Click on the Label Name (for example, Project Id) in the Search Results to sort on that column.
• Click on a Project Id to be transferred to the Project Maintenance and Inquiry page for additional information on that Project Id.
• You are limited to 1000 rows when viewing them in the Chartfield Inquiry System.  You can limit the results by further defining your criteria.  Or, if you download the results to Excel, you will be able to view all of the rows (even those greater than 1000 rows).
• Project Segments, Project Phases, and Project References (GL number) can all appear in the Project Id column in the results.
• The Project Ref field contains the Project Reference (GL number) for the Project Id (ex. Project Ref 044134 for Project Id 544134-02459).
• Click on the Download icon next to "Search Results" to send the search results to Excel (Note: Excel must be installed on your workstation for this to work).  Note:  You should select “Yes” if you receive an error message that states “The file format and extension of ‘ps.xls’ don’t match.  The file could be corrupted or unsafe.  Unless you trust its source, don’t open it.  Do you want to open it anyway?”.

Funding Group:

The Funding Groups coincide with specific project ranges and chartfield attributes. The table below has the complete list of Funding Groups and corresponding criteria.
